Venues

Meetings and group activities take place in members homes, venues in Ash or outside at various locations.

Details of where and when to meet will be published by the organiser via the group page, the events list or occasionally via the newsletter or email.

Booking venues

Only the venues co-ordinator can book external venues. Similarly, cancellations, changes or additional bookings must be made through the appointed Ash U3a committee member and not through the venue. Failure to notify the Venues Coordinator of a cancellation within a reasonable timescale may result in a penalty charge. When incurred, cancellation charges will be passed on to the group.

Bookings should be made as far ahead as is possible: group leaders to then collate and submit potential dates at least one term, but preferably two or three terms where practicable to the venues co-ordinator who is then responsible for ensuring the venue is available before booking. Sufficient time should be allowed before the meeting’s official start time for any specific equipment to be set-up. This is particularly important at the Ash Centre as access to halls and meeting rooms has to be paid for. The Ash Centre can be booked in 15 minute increments so this should not incur an onerous cost.

Once dates have been booked and confirmed a copy will be sent to the Treasurer and Groups’ co-ordinator for their records/information.
